Care & groups coordinator

The Care and Groups Coordinator supports the Care and Groups Ministries through administrative tasks, event logistics, and team onboarding across both ministries. The time will be an estimate of 30hrs a week in Care and 10hrs a week in Groups. For the Care Ministry, responsibilities include team scheduling, communication, and follow-up with individuals receiving care, as well as supporting Care Groups by assisting leaders, coordinating trainings, ordering resources, and onboarding care teams. For the Groups Ministry, duties include onboarding support, managing Planning Center data, and coordinating events such as Group Leader training, pop-up events, and demographic gatherings. This position ensures effective ministry support, smooth operations, and meaningful connections. Workdays will include, but not limited to Sunday to Thursday office and working hours.

Top 3 Job Duties

  • Project Management

    • Weekly, SZNal and bi monthly organization of Care and Groups projects and events.

    • Daily Supervision and execution of ministry workflows and asana projects

    • Organization with teams and staff to organize care ministry meetings

    • Organization with Group Leaders and Groups Team to organize onboarding and training

    Communication

    • External: Respond to all care request with 0-48 Hour response time for care requests and performs all external email/text communication to Group Leaders.

    • Internal: Communication and follow up with Care leaders and Group Leaders. This is including “Monthly In the Know”

    • Interpersonal: Daily communication with Care Pastor and Groups Director.

    • Support the Care Pastor by providing care when needed or Care vision

    Department Organization

    • Planning Center Workflow mgmt for giving and receiving care as well as Group planning center mgmt.

    • Monthly updates on Care Ministry intake & onboarding

    • Upkeep of Care resources, including booklets, trainings, care group curriculum

    • Upkeep of Groups resources, including booklets, trainings, Group curriculum

Additional Responsibilities

  • Responsive and organized with email, asana, Planning Center and work calendar.

  • Work with Care Pastor, and Groups Director on internal and external communication to Care teams, leaders, and Group leaders.

  • Collaborate with the Connections Director, Care Pastor, and Groups Director on ministry decisions.

  • Collaborate with Operations Dept. and Connections Director to create and maintain a care budget.
